This Privacy Policy explains how PT Total Solusi Teknologi ("Total IT", "we", "us", or "our") collects, uses, stores, and protects personal data when you use Total IT App (the "App"), an internal mobile application provided for use by authorized employees, contractors, and partners of Total IT and its affiliated companies.

By using the App, you acknowledge that you have read and understood this Policy.

1. Who This App Is For

The App is intended solely for authorized users of Total IT and its affiliates. It is not offered to the general public, and access is restricted to individuals whose accounts have been approved by the company.

2. Information We Collect

Depending on how the App is configured and the features you use, we may collect:

  • Account information: your name, company email address, profile picture, and job role or department, obtained when you sign in with your company Google account.
  • Usage and activity data: actions performed in the App, such as records you create or update, tasks, submissions, and timestamps.
  • Device and technical data: device model, operating system version, app version, IP address, and crash or diagnostic logs.
  • Content you provide: information, files, or messages you enter or upload while using the App for work purposes.
  • Notification data: a device token used to deliver push notifications, if you enable them.

We do not intentionally collect sensitive personal data (such as health, biometric, or financial account data) unless a specific feature requires it and you are informed in advance.

3. Google Sign-In and Google User Data

The App uses Google OAuth to authenticate users. When you sign in, we request only the basic scopes needed to identify you: your email address, basic profile information (name and profile picture), and your Google account identifier.

  • We use this information solely to authenticate you, create and manage your account, and apply the correct access permissions.
  • We do not sell Google user data, use it for advertising, or transfer it to third parties except as described in this Policy.
  • If the App requests additional Google scopes (for example Calendar or Drive), we will explain why before you grant access, and we will use that data only to provide the feature you requested.

The App's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy , including the Limited Use requirements.

4. How We Use Information
  • To authenticate users and manage access to the App.
  • To provide, operate, maintain, and improve App features and internal business processes.
  • To communicate with you about the App, including service notices, updates, and support.
  • To monitor performance, diagnose errors, and keep the App secure.
  • To prevent fraud, misuse, and unauthorized access, and to enforce company policies.
  • To comply with applicable legal and regulatory obligations.
5. Legal Basis

We process personal data on the basis of your consent, the performance of your employment or service agreement, our legitimate business interests in operating and securing internal systems, and compliance with legal obligations, in accordance with Indonesian Law No. 27 of 2022 on Personal Data Protection (UU PDP) and other applicable regulations.

6. Sharing of Information

We do not sell your personal data. We may share information only with:

  • Authorized personnel within Total IT and its affiliated companies who need access to perform their duties.
  • Service providers that host, secure, or support the App (for example cloud hosting, authentication, push notification, and analytics providers), bound by confidentiality and data protection obligations.
  • Authorities when required by law, regulation, court order, or valid governmental request.
  • Successors in the event of a merger, acquisition, or restructuring, subject to this Policy.
7. Data Storage and Security

Data is stored on secured servers and cloud infrastructure that may be located inside or outside Indonesia. We apply reasonable technical and organizational safeguards, including encrypted connections (HTTPS/TLS), access controls, authentication, and activity logging. No system is completely secure, and we cannot guarantee absolute security. Please protect your device and account credentials.

8. Data Retention

We keep personal data only for as long as needed for the purposes described above, for the duration of your relationship with Total IT, and as required by law or for legitimate business records. When data is no longer required, it is deleted or anonymized.

9. Your Rights

Subject to applicable law, you may have the right to:

  • Access and obtain a copy of your personal data;
  • Correct inaccurate or incomplete data;
  • Request deletion of your data or restriction of its processing;
  • Withdraw consent previously given;
  • Object to certain processing; and

10. Device Permissions

The App may request permissions such as notifications, camera, photos/files, or location, depending on its features. These are used only for the related feature and can be changed at any time in your device settings.

11. Children's Privacy

The App is intended for working adults and is not directed to children. We do not knowingly collect personal data from anyone under 18.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date above shows when changes were last made. Material changes will be communicated through the App or by email. Continued use of the App after an update means you accept the revised Policy.
